Privacy Policy

We collect the following categories of information:

• Account data: Name, email address, phone number, and role of the registering user (committee member, firm administrator, or staff).
• Society data: Society name, registration number, address, flat/unit details, and operational financial year information.
• Member & resident data: Names, contact numbers, flat ownership or tenancy details entered by the society committee on behalf of its members.
• Financial records: Receipts, payments, billing schedules, accounting heads, bank account references, and transaction details entered by authorised users.
• Usage data: Login timestamps, browser type, IP address, and in-app actions — collected to maintain security and improve the product.

• To operate the societyTALK platform and all its modules (billing, accounting, member management, facilities, communications, and reports).
• To authenticate users and enforce role-based access controls ensuring each user sees only data they are authorised to access.
• To generate billing statements, financial reports, and summaries for your society.
• To respond to support requests submitted to info@societytalk.in.
• To send you important service updates, planned maintenance notices, or security alerts.
• To analyse anonymised, aggregate usage patterns for product improvement — no individual or society is identifiable in these analyses.

All data is stored on servers located in India. We apply the following protections:

• Encryption in transit (TLS 1.2+) and at rest (AES-256).
• Role-based access control — only authorised committee members and administrators can view or modify society data.
• Short-lived JWT session tokens with silent refresh to limit exposure in the event of token compromise.
• Regular automated backups with tested recovery procedures.
• Separation of data between societies — no society can access another society's records.

In the event of a security incident affecting your data, we will notify impacted parties within 72 hours of becoming aware of the breach.

We do not sell, rent, or trade your personal or society data to any third party. We share data only in these limited circumstances:

• Payment processors: If subscription payment processing is handled by a third-party gateway, billing information is shared solely to complete the transaction. Society records are never shared with payment processors.
• Legal requirements: We may disclose data if required by applicable Indian law, a court order, or a competent regulatory or government authority.
• Accounting firms: A registered accounting firm on societyTALK can access the data of societies they administer. This access is explicitly granted by the society's administrator and can be revoked at any time.

We retain society and member data for the duration of your active subscription plus 12 months after termination. During this window, you may request a full export of your society's data at no charge. After 12 months post-termination, all society data is permanently and irreversibly deleted from our systems.

Anonymised, aggregate statistics may be retained indefinitely for product improvement purposes.

The committee administrator of each society has the right to:

• Access: Request a copy of all data associated with your society.
• Correct: Update inaccurate personal or society data directly within the platform or by contacting us.
• Delete: Request permanent deletion of your society's data upon subscription termination.

societyTALK uses only essential session cookies required for user authentication and platform operation. We do not use advertising, tracking, or analytics cookies. No third-party cookie consent banner is required.

We may update this policy from time to time. When we do, we will update the "Last updated" date above and, for material changes, notify registered administrators by email. Continued use of the platform after a policy update constitutes acceptance of the revised terms.
